Terms & Conditions of Service

Effective date: 5 August 2026

These Terms and Conditions apply to all cleaning services provided by Dynamic SW Cleaning Ltd. By booking or using our services, you agree to be bound by them.

2. Services provided

Dynamic SW Cleaning Ltd provides professional cleaning services including, but not limited to:

  • Domestic cleaning
  • Commercial cleaning
  • Holiday let cleaning
  • End-of-tenancy cleaning
  • Carpet and upholstery cleaning
  • Deep cleaning
  • Specialist and biohazard-related cleaning (subject to prior assessment)

All services are provided subject to availability and these terms.

3. Quotations and bookings

3.1 Quotations

  • All quotations are provided free of charge unless otherwise stated.
  • Quotations are based on the information supplied by the customer.
  • If the condition of the property differs materially from the information provided, we reserve the right to revise the quotation or apply additional charges for extra time, labour, equipment or materials required.

3.2 Bookings

A booking is confirmed when:

  • we have agreed a date and time for the service; and
  • the customer has accepted the quotation verbally, by email, message or through our website; and
  • we have received a 50% deposit to secure the agreed date for the service.

The remaining balance will be payable in accordance with our payment terms. We reserve the right to decline any booking at our discretion.

4. Access to the property

The customer must provide safe and reasonable access to the property at the agreed time, and is responsible for:

  • providing keys, access codes or alarm instructions where required
  • ensuring electricity and hot water are available
  • providing accurate parking information
  • ensuring pets are secured where necessary

If we are unable to gain access at the agreed time, a charge of up to 100% of the booked service value may apply.

5. Customer responsibilities

The customer agrees to:

  • remove or secure cash, jewellery and other valuables before the service
  • inform us of any delicate, damaged or high-value items requiring special care
  • ensure the working environment is safe for our staff
  • disclose any hazardous substances, bodily fluids, sharps, pest infestations or other health and safety risks before the service begins

We reserve the right to refuse or suspend work where conditions are considered unsafe.

6. Prices and payment

6.1 Pricing

All prices are stated in pounds sterling and include VAT where applicable.

6.2 Payment terms

Unless otherwise agreed in writing:

  • Domestic cleaning payments are due on completion of the service, or within 24 hours of invoicing.
  • Commercial cleaning invoices are payable within 30 days of the invoice date.
  • Carpet cleaning, end-of-tenancy cleaning and specialist cleaning balances are payable on completion unless alternative payment terms have been agreed.

6.3 Late payment

We reserve the right to charge interest and reasonable recovery costs on overdue invoices in accordance with applicable UK legislation.

7. Cancellations and rescheduling

Where a customer cancels or reschedules a booking:

  • More than 48 hours' notice: the deposit may be transferred to an alternative available date.
  • Less than 48 hours' notice: the deposit will be retained.
  • Same-day cancellation, or failure to provide access: the remaining balance will also become payable.

8. Changes to appointments

We will make every reasonable effort to attend at the agreed time. Appointment times may occasionally need to be adjusted due to circumstances outside our control, including traffic delays, staff illness, adverse weather, vehicle breakdowns, equipment failure or emergency situations. We will notify customers as soon as reasonably possible if any changes are required.

9. Additional time and extra work

If additional cleaning is required beyond the agreed scope of work, we reserve the right to provide a revised quotation before continuing. Any additional work will only be carried out once the customer has agreed to it.

10. Carpet and upholstery cleaning

While we use professional equipment and products, we cannot guarantee complete removal of all stains. Results may vary depending on:

  • the age and condition of the carpet or upholstery
  • previous cleaning treatments
  • type of fibres
  • permanent staining or damage

Drying times will vary depending on ventilation, temperature, humidity and material type.

11. End-of-tenancy cleaning

End-of-tenancy cleaning is intended to provide a thorough professional clean of the property. Unless specifically included within the quotation, this service does not include:

  • removal of excessive rubbish or waste
  • mould remediation
  • pest control
  • repairs or maintenance work
  • decorating or painting
  • removal of heavy items that cannot be safely moved

Additional work requested by landlords, agents or customers may incur additional charges.

12. Commercial cleaning contracts

For ongoing commercial cleaning services:

  • the agreed cleaning specification and frequency will be confirmed separately
  • either party may terminate the arrangement by providing 30 days' written notice unless otherwise agreed
  • we reserve the right to review pricing periodically, and will provide reasonable notice of any changes

13. Specialist and biohazard cleaning

Services involving:

  • bodily fluids
  • blood contamination
  • sharps
  • sewage
  • trauma scenes
  • hazardous waste
  • infectious materials

will require a site assessment before work begins. We reserve the right to refuse work where there is an unacceptable risk to staff safety. Additional charges may apply for specialist PPE, equipment, disposal requirements and extended cleaning procedures.

14. Damage and breakages

Any damage or breakages must be reported within 24 hours of completion of the service. Where damage has occurred due to our negligence, we will consider appropriate remedies, which may include repair, replacement or reasonable compensation.

We are not responsible for:

  • pre-existing damage
  • normal wear and tear
  • deterioration due to age or condition
  • damage caused by faulty fixtures, fittings or equipment
  • fragile items that have not been disclosed before cleaning

15. Limitation of liability

To the fullest extent permitted by law:

  • our liability shall be limited to the value of the service provided
  • we shall not be responsible for indirect or consequential losses

Nothing in these terms limits liability for death, personal injury caused by negligence, fraud, or any liability that cannot legally be excluded.

16. Complaints and satisfaction guarantee

If you are unhappy with any aspect of our service, please contact us within 24 hours of completion. We will investigate all complaints fairly and may offer a suitable resolution, which may include a re-clean of affected areas, a partial refund, or another reasonable remedy. 17. Photographs

We may take photographs before, during or after cleaning for:

  • quality control
  • operational records
  • insurance purposes
  • dispute resolution
  • marketing purposes

If you do not wish for photographs to be used for marketing purposes, this must be stated to us in writing at the time of booking. Explicit permission from the customer will always be obtained before we publish any biohazard photographs.

18. Data protection

Your personal information will be handled in accordance with our Privacy Policy and UK data protection legislation.

19. Force majeure

We will not be liable for delays or failure to provide services caused by events outside our reasonable control, including severe weather, flooding, illness, vehicle issues, equipment failure, government restrictions or other unforeseen circumstances.

20. Governing law

These terms are governed by the laws of England and Wales. Any disputes shall be subject to the jurisdiction of the courts of England and Wales.
